Adding Contacts to Marketing Lists based on Answer of Form Field

We have a form on our website that people can request information about our services from.  The form has a field that is an option list that lists a few of our services.  Based on the service they select we would like to add them to a specific marketing list.  Each service has a different marketing list.  Because all responses are not going to be added to the same marketing list I can't use the Add to Marketing List action on the form designer.  I've been trying to create a workflow that would add the contact to a marketing  list based on the value of the posted field but can't seem to do it.  Can this be done?

Hi Brooke,

Thank you for the screenshots! That helps me understand a lot better. 

Two things: 

1. If it is possible that the Event Participation could be a Lead or a Contact then you need a step before these that you have. It should say:

If Event Partcipation: Event Participation: Contact: Contains Data

Because if it is a lead then it will error when it gets to the update contact step.

2. In respect to the picklist field: In this situation you will need to check for each answer. I hope there are only a few! You'll need to do a step like this:

If Event Participation: Event Participation: JDE Version Equals X

Update Contact and set JDE Version to value X

It looks like that JDE Dropdown is grayed out. This might mean that this field is not editable. You would need to change that in the customizations while you make the workflow and then you can change it back.

Hi Jill,

You should be able to do this with a workflow. The workflow should be on the Posted Field entity. What you would need to do is create some if statements:

If Posted Field: Field equals Service

If Posted Field: Contact contains data

If Posted Field: Value equals Service A

Marking Lists > Update Marketing Lists (Add the contact to the correct Static Marketing List)

If Posted Field: value equals Service B

Marking Lists > Update Marketing Lists (Add the contact to the correct Static Marketing List)

If Posted Field: Posted Form: Lead contains data

If Posted Field: Value equals Service A

Marking Lists > Update Marketing Lists (Add the contact to the correct Static Marketing List)

If Posted Field: value equals Service B

Marking Lists > Update Marketing Lists (Add the contact to the correct Static Marketing List)

Hello Jill

Attached is a screenshot of an example workflow that would add somebody to different marketing lists based on their response to a field on your form. The workflow only checks against 2 possible options, but you can add as many as you need by repeating the format in the example. Please note that the example workflow assumes all submissions will be associated with contacts, so you will need to modify the workflow to check to see if the form was submitted by a lead or contact as described in Allison's response if that is a possible scenario for you. Also, the workflow uses a custom workflow step that we added in CD version 6.3.0, so you will need to be on at least that version to use it.

It appears that we are experiencing this same issue again. We are now running version 6.4.0. Should I activate all of the ClickDimensions steps? Do I need to disable any deprecated plugin steps as you suggested previously?

We need to resolve this issue immediately as it is preventing follow up calls from being created for our sales team and these calls need to be made in real time.

I've just checked and the only disabled plugins are those referenced in the article you directed me to back in April. Should those now be enabled?

Hi Heidi:
Those plugin steps need to remain disabled. We are investigating the scoring mechanism right now as it looks like it may not be updating for some customers. If you'd like an update, please open a ticket at http://support.clickdimensions.com. Sorry for the inconvenience!

We experienced the same issue on Lead Records. Total Score is not being updated. A ticket was created.

I'd like to be able to do this as well, but not in such a 'permanent' way. I'd like to do this at the Email Send level. I have a master marketing list, and then another marketing list of people that have already registered for a gtw event. I want to supress those people from the 2nd invite, so I'd like to say, don't send it to these people if they are in this list. However, I don't want to remove them from the master list. 

Should I add this as a feature request? It's one thing we did quite often in Mailchimp and it's going to be hard not having it.

Oh, gotcha! Yoikes. I have 10 items in the picklist, so since I have to do this for leads and contacts, this will be quite a lot of steps. I get it though, I'll do it this way and see how it plays out.

Hi Brooke,

I can't think of a way to do it straight from an email with a click. But what you could do is put a radio/checkbox field on the contact/lead record that when checked it triggers a workflow which puts them on the marketing list that starts them on the nurture. You can set up the Email Notification on the Form which would mean someone internally would get the email and in that email there is a link to the contact record automatically. Doing it like this would be 3 clicks. Which would be faster than opening the contact from the email and then clicking on start nurture, finding it and clicking Run for that one. 

If anyone else has thought of an idea for this to be faster though, please let us know!

I have added the Total Score to the Contact home page form so it is always visible to our reps.  We've also created a workflow process to email the reps when the score reaches a certain number.  The form is easy to update in customizations>entities>contact>form

PS  Once you add this to their page it is easy to create a view of the contacts and add Total score to the view as well  or create a view where total score is >than a certain number.

I have also 13 Sdk Message Processing Steps disabled? Should they remain disabled? After updating january release, there has been lots of problems. I used semi-automated update.  After update contact, customer and lead entities tracking was disabled.

Any update on the fix for this? Like Heidi, we need to resolve this issue immediately as it's preventing follow up calls from being created for our sales teams, which also need to be made immediately.

Hi,

I have a similar question wherein I have created an event in Eventbrite, waited for a few hours for first event to sync to CRM Online (which is understandable as per the documentation) but then I have added an invitee and then the invitee opened the email and accepted but it took far too long for the response to be updated in the CRM online. What is the default sync frequency set to? and is there any way we can change it. I want to demonstrate this to our customer and cant wait for hours to show them the response updates in CRM. Also I would like to know if the sync from Eventbrite can update any custom entity (for example instead of the events entity if I want to update the out of the box campaign entity which we had customised for the client to handle events prior to us looking at Clickdimensions? Please advise.

Problems with forms: can't edit form fields and changes of last Friday are gone?

Last Friday I made some changes in the country-dropdown list of one of my forms. I edited the forms and included the new forms in my website. On my website everything looks fine and I see the updated country list. But when I look in my CRM at the form fields now and in the design of my forms, the old dropdown list is shown. And when I want to edit the form field in the design of my form, nothing happens when I click on the 'properties' button. Are there any known issues within ClickDimensions that can cause this?
